Reporting to the Emergency Management Coordinator, the incumbent is responsible for the management of administrative supports required in Emergency Management.  This includes responsibility for assisting with processing invoices, mailing required items to community partners, quarterly reporting, and other office administrative duties required to support the Cornwall, Kingston, Frontenac, Brockville, Prescott Russell areas. 



Responsibility 1 – Financial Administration

  • Reviews line items on the general ledger for billing to community partners

  • Identifies & interprets payments related to program operations

  • Liaises with finance department to create invoice requisitions

  • Consolidation of financial information into spreadsheets

  • Conducts follow-ups with community partners and distributors regarding unpaid invoices

  • Manages, tracks and distributes Prepaid cards and EFT payments

Responsibility 2 – Administrative Support

  • Provides professional customer service and information to community partners, by email, telephone and in person;

  • Resolves enquiries to appropriate CRC personnel, locations, access points or other agencies;

  • Completes regular office administrative duties including but not limited to scanning, printing, filing;

  • Provides support to personnel on the completion of individual expense reports either through CRC Plus or manually, as required;

Responsibility 3 – Supports other Red Cross initiatives, as needed, to provide for a coordinated team effort to meeting the needs of the most vulnerable in the community.

  • Integrates volunteer resources and fund development within the scope of responsibilities.

  • Participates in disaster planning, preparation and response as needed.

  • Contributes to a healthy and safe working environment.

  • Performs other duties as required.



  • This position requires a satisfactory Canadian criminal record reference check and a satisfactory vulnerable sector check or Enhanced Police Information Check.


  • Strong verbal and written communications skills in English, including telephone and email etiquette;

  • Strong organizational skills and attention to detail;

  • Routine problem-solving & resourcefulness;

  • Quick learning and ability to multi-task and prioritize to meet deadlines;

  • Ability to work independently with minimal supervision, demonstrate initiative;

  • Strong computer skills and Windows literacy including intermediate to advanced EXCEL skills;

  • Financial or Administrative background would be an asset;



  • The majority of the work is completed in a remote setting;

  • Ability to travel to the Cornwall office on occasion for training;

  • Estimated 8 to 12 hours of work per week; Work can be completed any time of day;

  • Access to internet and phone required; Additional resources can be provided if required;

  • Additional volunteer duties are available if desired.
