Position Title: Recruitment & Mobility Coordinator

 

The Recruitment & Mobility Coordinator provides recruitment support to the Talent Management team and reports directly to the Manager, Talent Management.  Complexity in the role comes from coordinating recruitment efforts of highly specialized, hard-to-fill roles to entry level roles. This position requires the incumbent to work independently at times and deal with all levels of employees from senior management to front line staff. Other complexity comes from managing volume recruitment, ensuring all details are covered in recruitment efforts including updating Taleo requisitions, managing candidates and coordinating immigration and relocation requirements. Creativity and initiative are required in finding ways to improve existing processes and researching how systems like Taleo can be utilized to support recruitment more efficiently. The Recruitment & Mobility Coordinator must also understand federal and provincial legislation relating to employment and immigration. Errors or misjudgements could result in poor hiring decisions, mismanagement of candidates, unnecessary recruitment costs, delays in hiring or negative immigration decisions.

Duties/Accountabilities

Immigration Support

  • Collect data from external vendors for immigration projects, and assist in processing work permit application
  • Provide support to external vendors through cruise ship immigration process
  • Prepare documentation for contractors arriving to Seaspan projects
  • Understand the immigration requirements for contractors from various countries
  • Coordinate with project teams to ensure deadlines and targets are met for all immigration projects

Posting

  • Creates job requisitions using Taleo Recruit (applicant tracking system) to initiate recruitment processes
  • Requests position approvals to ensure timely posting of job requisitions
  • With support and direction, coordinates advertisements on external school/industry websites and major job boards

Applicant Tracking System - Taleo

  • Support the data entry and reporting of internal and external candidates into Taleo
  • Input resumes/candidates based on recruiter sourcing activity into Taleo
  • Assists hiring managers to use Taleo to review resumes
  • Utilizes Taleo database for candidate sourcing in addition to other resources (i.e. LinkedIn, online research)
  • Uploads and maintains solicited and unsolicited applications
  • Manages Taleo Recruit access and resolves basic Taleo issues using administrator access

 Screening/Selecting  

  • Conducts initial screening and/or phone interviews of candidates on entry level positions
  • Assist candidate sourcing efforts for hard-to-fill roles or direct hire roles
  • Coordinates interview schedules for candidates and interviewers
  • Coordinates itineraries for out-of-province candidates and works with the Executive Assistant or Confidential Secretary to arrange schedules and travel
  • Provides consultation to Hiring Managers to ensure legal compliance and to implement best practices for recruitment and selections.
  • Assists with generating offer letters and seeking appropriate approvals for offers
  • Coordinates immigration documentation (Visas/Work Permits/LMO) as may be required, with assistance from our legal partners.
  • Arranges psychometric testing and/or other pre-employment requirements
  • Conducts reference checks on candidates and provides feedback to hiring managers
  • Prepares new hire paperwork in partnership with the Compensation and Benefits Supervisor.

Outreach/Agency Partnering

  • Assist in planning outreach, equity and diversity programs and/or attending events as required
  • Assist in planning and hosting career fairs in partnership with the Talent Acquisition team
  • Tracks current progress with agency use and researches potential agency partnerships if necessary

Administration

  • Updates and monitors all recruitment communication materials
  • Creates and updates recruitment related documentation (trackers, reports, presentations etc.)
  • Compiles regular reports on recruitment progress including weekly recruitment report
  • Compiles information on recruitment metrics as part of regulatory requirements
  • Supports Talent Acquisition Manager by providing research and documenting best practices on recruitment and immigration legislation requirements.
  • Supports Talent Acquisition team regarding utilization and invoicing of temporary agencies
  • Supports the employee referral bonus program by tracking internal referrals
  • Researches information pertaining to recruitment policy development and makes recommendations based on best practices, legislation and understanding of business environment to update current policies
  • Compiling candidate expenses for accounts payable to process
  • Other related duties as assigned

Position Specifications

Education and Experience

  • A diploma in Human Resources, Psychology, Business or related OR 1-2 years of experience as a Human Resources professional with a focus on recruitment and immigration 
  • 2 years of Canadian Immigration experience specific to processing various work permits is required
  • 1 year of project coordination experience in fast paced environment is required
  • 1 year of administrative assistance experience is required

  • Ability to communicate fluently in English is required

 

Terms of Employment: Permanent, full-time

Remuneration: $56,000 - $66,000 annually

NOC: 1223
