If you answered yes, then this may be the job for you!  The Projects Business Coordinator position is to provide administrative support and office coordination support for the Douglas Point Waste Facility (DPWF) operations staff and the Douglas Point (DP) decommissioning staff over 1-year term. The DPWF is currently in Storage with Surveillance and is planning to advance decommissioning pending Regulator’s approval. In doing so, additional staff and contractors will be required at the DP site. DP is part of the Reactor Decommissioning Branch, in the Environmental Remediation Management Department.

 What will you be doing !

  • Providing administrative support to the DP operations and decommissioning staff and overseeing the office operations: arrange meetings/teleconferences; record and issue meeting minutes; arrange travel bookings; coordinate visitor access to site; and arrange for catering.
  • Ensuring company policies and procedures are communicated to DP staff. Ensure administrative processes are established to comply with company standards.
  • Training and being qualified to prepare documentation and labelling for shipping of DP waste based on the legislation and regulations for radioactive material (RAM Shipper).
  • Performing clerical duties as required eg: typing; filling; photocopying; data entry.
  • Reviewing and updating documents based on facility staff feedback (specifically building emergency procedure, facility maintenance forms, but may include others).
  • Filing historical and new records in ATOM.
  • Preparing iReq’s for quotes and/or purchase orders for work material/tools/equipment/PPE&C and service contracts for DP site.
  • Ensuring adequate supplies of office materials by ordering stock and purchasing other standard items as requested.
  • Collaborating with CNL (CRL) security department for the review and completion of the security clearance processes for DP staff, contractors, and new applications (staff and contractors).
  • Ensuring a smooth workflow and safe working environment in DP office.
  • Participating in the hiring process for summer students and other DP positions. May oversee the summer student’s work.
  • With DP Group 1 Radiation Surveyor, managing information regarding Dosimetry TLDs. Responsible to ship and receive the TLDs and ensuring forms are completed and sent to CNL Dosimetry department.
  • Participating in special projects as required. Participating in document creation and/or review for special projects. Participating in project coordination.
  • Acting as Emergency Steward in case of an emergency at DP in accordance with the CNL Procedure. Participating in emergency drills, and may organize emergency drills.
  • Updating the Facility Maintenance Schedule and distributing to DP Management.
  • Sponsoring individuals CNL sites for various occasions including public tours, CNL management, and Contractors during bid meetings.
  • Assisting in organizing the review and comment of documents received from contractors.
  • Being present at the Douglas Point site to assist staff.

 What we are looking for:

Education

  • College diploma in administration field.

Experience

  • Minimum of three (3) years progressively more responsible work experience, preferably in a project team environment.

Knowledge, Skills & Abilities

    • Excellent knowledge of MS Office suite; Oracle to be able to create iReqs, Foxit Phantom to be able to develop customized charts, reports, presentations, and technical documents; a proven ability to learn new applications as required.
    • Ability to become a qualified RAM shipper within the first two (2) years.
    • Well organized and able to plan and perform tasks with minimal guidance. Able to work under pressure, solve problems, make decisions, and cope with change.
    • Must have the ability to work, plan, and prepare own work schedule, manage time, all under demanding and diverse situations and stressful deadlines. Creativity, innovation, flexibility, and adaptability are required to handle the multiple priorities and schedule pressures.
    • Confident, highly motivated, trustworthy, discrete, and possessing a professional attitude.
    • Superior interpersonal and communication skills. Must have proven ability to work and communicate effectively with all staff and levels of management, external stakeholders, contractors, and regulatory agencies. Must be courteous, tactful, and have excellent oral and written (grammar and spelling) communication skills and business writing capabilities.

Security Clearance Eligibility Required

  • Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
