The Business Coordinator (BC) provides business and administrative support to the Douglas Point Waste Facility (DPWF) and the Douglas Point (DP) decommissioning staff. The BC must exhibit a great deal of initiative, be well organized in day-to-day activities, have the ability to prioritize a demanding workload, and is a team player with a service-oriented outlook.
What will you be doing!
- Providing administrative support to the DP operations and decommissioning staff and overseeing the office operations: arranging meetings/teleconferences; recording and issuing meeting minutes; arranging travel bookings; coordinating visitor access to the site; and arranging for catering.
- Ensuring company policies and procedures are communicated to DP staff and administrative processes are established to comply with company standards.
- Preparing documentation and labeling for shipping of waste based on the legislation and regulations for radioactive material (RAM Shipper), through qualification and training.
- Performing clerical duties as required eg: typing; filling; photocopying; data entry.
- Reviewing and updating documents based on facility staff feedback (specifically building emergency procedures and facility maintenance forms, but may include others).
- Filing historical and new records appropriately.
- Preparing iReq’s for quotes and/or purchase orders for work material/tools/equipment/PPE&C and servicing contracts for the site.
- Ensuring adequate supplies of office materials by ordering stock and purchasing other standard items as requested.
- Collaborating with Canadian Nuclear Laboratories (CRL-Chalk River Laboratories) security department for the review and completion of the security clearance processes for staff, contractors, and new applications (staff and contractors).
- Ensuring a smooth workflow and safe working environment in the office.
- Participating in the hiring process for summer students and other DP positions, possibly overseeing the summer student’s work.
- Managing information regarding Dosimetry TLDs, being responsible to ship and receive the TLDs and ensuring forms are completed and sent to CNL Dosimetry department.
- Participating in special projects as required, in document creation and/or review for special projects and in project coordination.
- Acting as Emergency Steward in case of an emergency at CRL in accordance with the CNL Procedure and participating in emergency drills, possibly organizing emergency drills.
- Updating the Facility Maintenance Schedule and distributing to DP Management.
- Sponsoring individuals to CNL sites for various occasions including public tours, CNL management, and Contractors during bid meetings.
- Other duties as assigned by Management.
What we are looking for :
- Education
- College diploma in an Administration field.
- Experience
- Minimum of three (3) years of progressively more responsible work experience, preferably in a project team environment.
- Knowledge, Skills & Abilities
- Excellent knowledge of MS Office suite; Oracle to be able to create iReqs, Foxit Phantom to be able to develop customized charts, reports, presentations and technical documents; a proven ability to learn new applications as required.
- Ability to become a qualified RAM shipper within the first two (2) years.
- Well organized and able to plan and perform tasks with minimal guidance. Able to work under pressure, solve problems, make decisions, and cope with change.
- Must have the ability to work, plan, and prepare own work schedule, and manage time, all under demanding and diverse situations and stressful deadlines. Creativity, innovation, flexibility, and adaptability are required to handle the multiple priorities and schedule pressures.
- Confident, highly motivated, trustworthy, discrete, and possessing a professional attitude.
- Superior interpersonal and communication skills. Must have proven ability to work and communicate effectively with all staff and levels of management, external stakeholders, contractors, and regulatory agencies. Must be courteous, tactful, and have excellent oral and written (grammar and spelling) communication skills and business writing capabilities.
- Security Clearance Eligibility Required
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
