Reporting to the Manager, Faculty of Design Office and working closely with the Dean, Associate Deans and Program Chairs, the Coordinator, Academic Planning is responsible for providing support for the Faculty of Design (FOD) Office, including processes involved with curriculum development and course and faculty scheduling. 

Summary of Responsibilities:

  • In consultation with the Program Chairs and Associate Dean, support the Curriculum Advisory Committees of Faculty (CACOF), including: researching, analyzing, and presenting curriculum changes ensuring that they align with the University’s policies and procedures as well as coordinating and preparing curricular materials for submission to the Senate Undergraduate Studies Committee (SUSC)
  • Ensure that all curricular changes are updated on Canvas via course outlines
  • Responsible for the analysis, accuracy and maintenance of the course schedules in consultation with the Office of the Registrar and Program Chairs to ensure course and faculty information is accurate for scheduling and to update the Colleague system prior to publication
  • Research and prepare data for faculty contracts, committee work, projects and various reports 
  • Coordinate the recruitment and hiring process for Teaching Assistant hiring in consultation with the Chairs and People & Culture, including: preparing postings and hiring documentation, summarizing candidate information (i.e. CVs) 
  • Responsible for hiring student monitors including supervision, approving hours through Web Time entry, and ensuring that relevant legislated training (e.g. health and safety, AODA, etc.) has been provided
  • Liaise with the Faculty of Art office to hire models for classes, including confirming hours worked
  • Maintain the Filemaker Pro database, including data entry, verification and reporting of curricular information, as required and prepare Sessional contracts as required
  • Prepare statistical reports for the Associate Deans and Manager regarding curriculum and hiring; ensure reports are filed and archived, as appropriate
  • Provide back-up assistance to the Dean in the absence of the Executive Assistant and the Coordinator, Faculty of Design and act as designate in the absence of the Manager, Faculty of Design, as appropriate
  • Answer general inquiries from students, faculty, staff and the public
  • Responsible for overseeing email distribution groups within the FOD Office
  • Lead coordination of communications for the office, including emails to faculty and relevant stakeholders, the faculty newsletter updates to faculty during formal assessment period and FOD website updates
  • Train faculty on the use of Canvas and monitor the updating of all course outlines and insertions on Canvas by the faculty; conduct appropriate follow-up to ensure course outlines comply with OCAD U standards
  • Lead the facilitation of FOD’s participation in the Graduate Exhibition
  • Perform such clerical duties as: photocopying, booking rooms, scheduling appointments, preparing and following up on work requests
  • Support the Manager, Faculty of Design Office with general administrative projects, that contribute to the successful operation of the Faculty of Design Office

Qualifications:

  • Post-secondary degree or equivalent, with a minimum of three (3) years of administrative work experience, preferably in a post-secondary educational environment 
  • Excellent technical computing skills, including ability to create accessible documents, forms and templates using Microsoft Office and appropriate Adobe programs; proficiency in Filemaker, Canvas and Colleague would be an asset
  • Proven ability to meet deadlines and work well with high volume, pressure and changing priorities
  • Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty 
  • Outstanding interpersonal, communication, composition, organizational, and analytical skills, with experience communicating effectively with a diverse population
  • Demonstrated project management skills encompassing attention to detail, and the ability to prioritize tasks and meet deadlines
  • Demonstrated ability to take initiative and work both independently and collaboratively in a team environment

Compensation: Hiring Range - $31.59 - $36.14 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of *benefits; Salary Range - $31.59 to $41.52 per hour.

*The successful incumbent has the option of pay in lieu or enrollment in benefits.

Hours of Work:  Monday to Friday, 35 hours per week. This is a temporary contract expected to continue until September 25, 2026.

The incumbent in this role will be expected to report to work on campus.
