Reporting to the Manager, Campus Operations and working closely with the Distribution Services Coordinator, the Distribution Services Clerk performs functions associated with material movements through Distribution Services, including logistical support, hazardous materials handling, mail service and record keeping for the University and the performance of other related tasks.
Summary of Responsibilities:
- Receive materials, inspect shipments and reconcile packing slips or manifests with receivables
- Perform data entry of all traceable packages using computerized tracking system (i.e. DBOCAD)
- Determine whether orders have been filled correctly by verifying incoming shipments against the original order and the accompanying bill of lading or invoice
- Maintain accurate records of receivables and verify materials are delivered to the correct department
- Prepare a record of the shipment and the condition of its contents by hand-held scanners to record bar codes on incoming products or by entering it into computer records
- Receive, sort and route all incoming and/or outgoing mail and packages for distribution
- Maintain records on postage expenditures and costs
- Operate and maintain mailroom equipment (e.g. postage meter, fax machine, computer, printer, and scanner); troubleshoot and perform minor equipment repairs, as needed
- Conduct room set-ups, including special event set-ups, and maintain monthly furniture inventory
- Organize stock rooms and maintain a monthly database of tools, equipment and supplies in storage spaces
- Liaise with the Senior Accounts Payable/Receivable Clerk, Senior Procurement Officer and various University departments regarding issues arising from the ordering and receipt of goods
- Assist with coordination of storage and retrieval of university property on and off-site and maintain related records
- Oversee office moves, retrieval and storage of university furniture from offsite holding spaces
- Ensure the proper receipt, storage, and disposal of chemicals and other hazardous material in accordance with the Transportation of Dangerous Goods Act and Workplace Hazardous Materials Information System (WHMIS) guidelines
- Assist in coordination of the University’s recycling program
- Carry out general work orders and tasks related to grounds keeping, gardening, and snow removal
- In the absence of the Distribution Services Coordinator, respond to emergency requests as required
- Assist in the training, supervision and scheduling of daily work assignments of student monitors
- Participate in the Joint Health & Safety Committee as required
- Assist the Manager, Campus Operations, Distribution Services Coordinator and other departmental staff in other related tasks that contribute to the successful operation of Safety, Security & Campus Operations
Qualifications:
- Post-secondary degree or equivalent, with a minimum of three (3) years of administrative work experience, preferably in a post-secondary educational environment
- Excellent technical computing skills, including ability to create accessible documents, forms and templates using Microsoft Office and appropriate Adobe programs; proficiency in Filemaker, Canvas and Colleague would be an asset
- Proven ability to meet deadlines and work well with high volume, pressure and changing priorities
- Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
- Outstanding interpersonal, communication, composition, organizational, and analytical skills, with experience communicating effectively with a diverse population
- Demonstrated project management skills encompassing attention to detail, and the ability to prioritize tasks and meet deadlines
- Demonstrated ability to take initiative and work both independently and collaboratively in a team environment
Compensation: Hiring Range - $23.48 - $27.75 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of *benefits; Salary Range - $23.48 to $32.29 per hour.
Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to continue until February 7, 2025.
