Reporting to the Manager, People Strategies, the People & Culture Coordinator (Academic) is responsible for providing proactive, client-focused support to academic managers, academic administrators, faculty and academic staff in keeping with OCAD University’s (OCAD U) academic and strategic plans and values.
The P&C Coordinator provides coordination and administrative support to all P&C processes in the academic cycle, working in partnership with the P&C Advisor (Academic). The role supports P&C programs and new initiatives and the continuous improvement of services and programs with specific regard for the success of equity-deserving groups.
Summary of Responsibilities:
- In partnership with the P&C Advisor (Academic), proactively provide service to academic managers, academic administrators, faculty and academic staff
- Maintain awareness of client group needs and support the P&C Advisor with workforce planning and implementation
- Provide guidance and support to faculty offices on academic processes, policies, programs and procedures, escalating to the P&C Advisor (Academic) as needed
- Support processes in the academic cycle which are under the purview of P&C
- Support the P&C Advisor (Academic) with the annual complement planning process; maintain the academic complements throughout the academic year as it relates to new hires, appointment and workload changes, etc.
- Prepare various employment-related correspondence for academic managers, academic administrators, faculty and academic staff, including job offers and promotions, and other employment documentation
- Act as a resource to faculty and academic staff on all human resources issues in support of a positive employee experience
- Support position control processes, including POSD submissions and auditing of position control reports
- Lead the onboarding process for academic administrators, faculty and academic staff, including coordinating pre-employment paperwork and orientation sessions, and addressing related inquiries and/or issues; ensure academic managers have required information to support this process
- In conjunction with the Faculty offices and Office of Research Services, oversee the hiring and contract administration for teaching assistants/research assistants, supporting with budgeting and compliance with collective agreements and related policies
- Provide administrative support for Joint Committee Meetings, including booking, coordination and distribution of the agenda and distributing minutes
- Support the Manager, Faculty & Employee Relations with collection of relevant employment related records in preparation for complaint/grievance processes
- In consultation with the P&C Advisor (Academic), provide administrative support to the Merit Review Committee
- Act as the People & Culture representative on sessional faculty Right of Reappointment committee, escalating issues to the P&C Advisor (Academic) as needed
- Oversee the Professional Development submission process for academic management, academic administrators, faculty and academic staff, including intake, tracking, processing submissions, and liaising with the P&C Advisor (Academic) and Office of the VPAP when required
- Provide support to faculty offices in related academic processes (i.e. Performance and Peer Review, Tenure and Promotion of Rank, Teaching Stream Permanency)
- Provide back-up support for academic recruitments as required
- Conduct employee research and analysis, and prepare internal and external reports as required; liaise with other departments and P&C staff to coordinate and collect related employee data
- Maintain currency and knowledge in all relevant areas of Human Resources
- Serve as a backup for the People & Culture Coordinator, as needed
- Assist with special projects, initiatives, and events contributing to the successful operation of the People & Culture office
Qualifications:
- A post-secondary degree in Human Resources, Business or a related field, or an equivalent combination of education and experience with special consideration for the professional and community-based experience of equity-deserving groups
- Ability to obtain a Certified Human Resources Professional (CHRP) designation is preferred
- A minimum of two (2) years of work experience providing client-focused services, preferably in a human resources unionized, post-secondary or public sector environment
- Knowledge of applicant tracking systems and Human Resources Information Systems (HRIS) is an asset
- Working understanding of HR policies and practices, collective agreements, and relevant employment legislation, such as the Employment Standards Act (ESA), Ontario Labour Relations Act (OLRA), Ontario Human Rights Code (OHRC), Occupational Health and Safety Act (OHSA), and the Accessibility for Ontarians with Disabilities Act (AODA)
- A collaborative and consultative working style with an ability to develop and maintain effective working relationships in a manner that gains trust and cooperation
- Strong communication and interpersonal skills and judgement, with a demonstrated ability to deal with sensitive or confidential matters with discretion
- Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
- Qualities that include integrity and resourcefulness
- Strong computer skills and a working knowledge of all Microsoft Office applications and well-developed internet research skills
- Demonstrated ability to work independently and participate collaboratively in a team environment

Mode of Work: Hybrid. Minimum 3 days/week on campus
Compensation: Hiring Range - $31.59 to $36.14 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of benefits; Salary Range - $31.59 to $41.52 per hour.
Hours of Work: Monday to Friday, 35 hours per week. This is a temporary contract expected to continue until November 27, 2026.
