Are you an experienced Executive Assistant with exceptional communication and relationship building skills ready to support a dynamic leader?

We are seeking an Executive Assistant to provide exceptional administrative support to the Vice President of Finance and Administration. In this role, you will be building strong internal and external relationships on behalf of the Vice President. You will ensure smooth operations for the Vice President by managing project management tasks, coordinating schedules, administrative tasks and facilitating effective communication to both external and internal stakeholders. 

Here is What is on Your Horizon

Communication & Relationship Management 

 

·       Serve as the primary representative of the Vice President, Finance and Administration, overseeing internal and external communications and relationships.

·       Schedules and coordinate meetings, conferences and events, ensuring all necessary materials, logistics are in place; take meeting notes and follow up on action items 

·       Act as a point of contact for internal and external stakeholders, including clients, partners and team members and screens and directs inquiries appropriately 

·       Collaborate with other administrative staff, departments and teams to facilitate smooth communication and coordination 

Project Coordination 

 

·       Coordinate projects for the Vice President, Finance and Administration, supports committees, manages budgets and provides comprehensive reporting for strategic initiatives aligning with Seneca’s priorities 

·       Attend meetings of working groups and forums associated with executive-led initiatives, ensuring a deep understanding of project dynamics and facilitating effective communication 

·       Capture and report on project progress to the Vice President, employing proactive issue escalation strategies to address challenges promptly and maintain alignment with overarching goals 

Operational Support 

·       Oversee the drafting, proofreading and editing of documents, reports, presentations and communications from the Vice President’s office.

·       Provide administrative assistance to executive leadership by managing calendars, coordinating travel arrangements and handling correspondence 

·       Assist executives in prioritizing tasks and managing time effectively to maximize productivity and achieve organizational goals

Are you the Executive Assistant We’re Looking For?

This role is for you if you have extensive experience as an Executive Assistant or in a relevant administrative area, supporting senior leaders and managing high-level executive functions. Bring your expertise in organizing complex schedules, handling sensitive information with discretion, and providing comprehensive administrative support. Demonstrate your qualifications with a postsecondary certificate, diploma, or degree in business administration or a related field. Alternatively, we welcome candidates with an equivalent combination of relevant training and professional experience that showcases your administrative abilities. Excel in this position by showing your strength in building and managing internal and external relationships, where you bring passion, empathy, and strong interpersonal skills to every interaction. Your experience managing communications between executives and key stakeholders will be crucial. Strong ability to carefully review and prepare documents, presentations, and other materials, ensuring the highest level of accuracy and professionalism will be an asset.
