Position Summary:
As an Administrative Assistant, you’ll be the organizational backbone of our operations. Supporting both field and office teams, you’ll handle a variety of administrative duties including document control, data entry, scheduling, and internal coordination. This position requires someone proactive, detail-oriented, and comfortable balancing multiple priorities in a fast-paced, industrial environment.
Key Responsibilities:
• Provide general administrative support to project coordinators, field staff, and department leads.
• Maintain accurate and organized filing systems for project documents, safety records, and operational reports.
• Coordinate and schedule meetings, travel arrangements, and training sessions.
• Prepare and edit documents such as reports, memos, work orders, and timesheets.
• Support onboarding and orientation for new hires, including document collection and setup.
• Assist with invoice coding, purchase order tracking, and expense reports.
• Manage incoming/outgoing communications and provide professional client support as required.
• Ensure compliance with internal administrative processes and client documentation standards.
• Help maintain office supplies, shared calendars, and equipment logs.
Qualifications:
• Diploma or certificate in Office Administration, Business, or a related field (or equivalent experience).
• 2+ years of administrative experience, preferably in construction, industrial services, or energy sectors.
• Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams).
• Excellent organizational and time-management skills.
• Clear, professional communication—both verbal and written.
• High attention to detail and accuracy in data entry and document formatting.
• Ability to handle confidential information with discretion.
Preferred Assets:
• Experience with document control systems or project software (e.g., SharePoint, or similar).
• Familiarity with industrial safety documentation (FLHAs, toolbox meetings, permits).
• Exposure to Oil & Gas or Chemical plant operations.
• Understanding of Indigenous-owned businesses and cultural awareness is an asset.
