Title : Senior Coordinator, Deployment Communications and Information

In this role, you will :

Responsibility 1 – Deployment Communications 

  • Manage the Red Cross alert system and messaging process for international deployments.
  • Compile’s personnel availability responses, relevant training, previous mission experience and competency markers into reports for deployment selection and workforce planning where necessary.
  • Provides frequent analysis and guidance on complex issues related to delegate availability, alerting and workforce planning issues both internationally and domestically, as required.
  • Analyzes incoming Movement emergency alerts and requests for personnel through funding source parameters and automatically creates and distributes alert messages, if applicable, without need for oversight.
  • Processes emergency alert requests and prioritizes multiple complex demands while continuously applying equity and transparency concepts to alerting and selection process.
  • Manages delegate communications for clarity and engagement including developing alert messaging and ensuring standard messaging and practices are applied to each communication.
  • Develops and maintains change management/process change materials and standardized messaging for a wide audience of stakeholders (internal and external to CRC), including participating and leading training sessions and/or webinars.
  • Maintains contact with personnel on deployment opportunities, funneling communications as necessary and providing direct oversight of information to ensure best practices are adhered to.
  • Leads responding to requests for support on delegate outreach, where necessary, on issues of engagement, information sharing and delegate roster maintenance.

Responsibility 2 – Information and Systems Management 

  • Administers and maintains people management system data in collaboration with relevant stakeholders with particular attention to compliance requirements.
  • Develops data tools for use with deployment data to ensure personnel mission tracking for risk and reporting requirements, including maintenance of tools and applicable team training on use of tools.
  • Receives, coordinates and files relevant personnel documents.
  • Leads in the development and implementation of delegate alert and briefing/debriefing systems and processes, including training on new tools as required.

Responsibility 3 – Deployment Hub Cross-Functional Support 

  • Develop and maintain standards for briefing and debriefing schedules, including attendance tracking, and communicates with internal stakeholders and deploying personnel on upcoming schedules.
  • Fosters teamwork through a professional exchange of experiences and expertise that can be transferred to other areas of work.
  • Participates in training and team development opportunities to ensure cross-functionality.

       

What we are looking for :

  • A Bachelor’s degree in a related field (e.g. business administration, human resources etc.) or equivalent experience in a related field.
  • Minimum 3 years’ experience in customer service coordination/business administration.
  • Excellent demonstrated working experience in matrix environment.
  • Experience with new technologies in the non-profit sector is an strong asset.
  • Exceptional data and systems management experience in MS Office-365 Suite and cloud-based systems.
  • Knowledge of the Canadian Red Cross Society’s international and domestic operations is a definite asset.
  • Knowledge of the delegate experience and/or best practices in communication with varied stakeholders is an asset.
  • Exceptional verbal and written communication and interpersonal skills in English. Working proficiency of French and/or additional languages would be a definite asset.
  • Team-focused with an ability to be flexible, work effectively in an inter-disciplinary team and work on time-sensitive tasks in a fast-paced and often ambiguous condition.
  • Strong customer service, time management, planning and organizational skills is essential.

     

Working conditions :

  • The majority of the work is performed in home-based office environment.
  • Ability to work non-traditional and longer hours often on short notice especially during times of emergency response.
