Title : Systems Specialist

Employee Working Location :  Remote (Canada) 

Employment Status : Temporary Full-time (12 months) 

Salary Band : $ 50,282 - $ 70,000 / year

In this role, you will : 

Responsibility 1 : Training & Documentation

  • Deliver EMIS training and coaching sessions, and remain current with EMIS enhancements.
  • Provide input into the development of EMIS guidance documents, and inherent supporting material.  
  • Update training to match functionality.
  • Develop job aids to support use of systems based on approved standards.    
  • Support the recruitment and onboarding of SMEs and EMIS facilitators.

Responsibility 2 : System and Standardization

  • Complete administrative tasks such as managing EMIS inboxes, processing access requests and support tickets, and compiling stats.  
  • Review and consolidate data within identified systems.
  • Provide input and assist with testing of new and existing applications.  
  • Create and run queries to extract data from current systems.  
  • Use Excel / Power BI including filters, formulas, etc. to develop lists and reports from various data sources.  
  • Complete reports reconciliation, invoices processing and monthly stats  
  • Update SharePoint as required.
  • Execute applicable requests received from Data Analyst.
  • Provide technical support and direction when requested.  

Responsibility 3 : Emergency Response

  • Train and provide guidance during response.  
  • Monitor data quality and activity for adherence to established standards and processes.  
  • Prepare and import data as required, including the provision of mass financial assistance.
  • Manage escalation tracker as required.
  • Provide virtual and/or on-location support.
  • Serve as an EMIS expert within operational escalation processes.  
  • Review data to identify and resolve duplicate registrations. 

            

What we are looking for :

  • High school diploma or equivalent.
  • Minimum 1-3 years experience in EMIS required.
  • Fluency in both English and French is required.
  • Strong written and verbal communication skills, as they are crucial for interacting effectively with other CRC personnel. Previous facilitation experience is an asset.
  • Able to notice and accurately process small but important pieces of information is critical, as this role deals with essential data that affects the in-system reporting and provision of services.
  • Able to identify and address issues promptly and effectively, utilizing approved tools and pathways; especially those that could impact assistance provision for households.
  • Able to effectively work both independently and collaboratively; contributing to a cohesive and efficient team environment.
  • Able to respond to changing circumstances and shifting priorities, demands and timelines through analytical and problem-solving capabilities, in a fast-paced environment.
  • Able to effectively organize and prioritize tasks. 
  • Ability to remain focused under pressure and high-stress situations.
  • Data Management Skills: Proficient in the handling of all data, including collecting, inputting, and maintaining information accurately in EMIS.
  • Technical Proficiency: Competent in EMIS, follows process and uses the guides, tools and resources available on SharePoint. Intermediate skills in the standard tools of the M365 suite, specifically Outlook, Word and PowerPoint. 

                  

Working Conditions : 

  • The majority of the work is performed from a remote home office or in an adapted response environment which is moderately clean and comfortable.  
  • Working outside of business hours, including evenings, weekends and holidays, will be required during emergencies.  
  • Working additional and overtime hours may be required during emergencies.
  • Potential for responding to disaster areas (travel within Canada), as well as difficult and unstable conditions (environmental, physical, social, etc.) and uncomfortable conditions.
