Title: Senior Administrative Coordinator, Municipal partnerships

Employee Work Location: Partially Virtual / Hybrid (Montreal, QC)

Employee status: Temporary Full-time (4 Months)

Salary band: $54,797.30 / year

In this role, you will :

  • Maintain relationships with municipal partners and contact cities to follow up on municipal agreements, capture feedback and answer questions.
  • Implement various communication tools and act as a focal point to facilitate the municipalities’ understanding of the Canadian Red Cross role in Quebec and its services.
  • Coordinate the signing of letters of agreements and renewals with municipalities and boroughs, prepare letters of agreement, follow up on signing and make sure funds have been received.
  • Analyze municipal partners’ feedback to advise Emergency Management Department on how to better meet their needs.
  • Make recommendations and implement improvements to the content and management process of these agreements.
  • Perform statistical quantitative analysis as required by the Emergency Management Department, including service agreements with municipalities and associated expected revenue.
  • Develop a monitoring, filing and archiving system for assigned files and prepare letters, documents, presentations, and reports as requested by Emergency Management leadership.
  • Act as a Canadian Red Cross representative with important partners and community leaders as required during conferences and events such as seminars (manning a booth).
  • Take part in emergency responses in Quebec and Canada as needed.
  • Assume temporary roles and responsibilities during emergency responses.
  • Contribute to the planning and organization of services lines activities, including monitoring and maintaining recurring tasks.
  • Support the improvement of Emergency Management administrative management tools.
  • Write or review documents, correspondences, reports, and administrative forms.
  • Support Emergency Management leadership in the preparation of presentations.
  • Share relevant procedures with staff to maintain daily operations.

          

What we are looking for :

  • A college diploma with a focus on administrative skills or an equivalent combination of relevant experience.
  • At least three years’ experience in customer service.
  • At least three years of experience in coordinating and managing administrative files.
  • Experience in and knowledge of municipal management sector an asset.
  • Knowledge of the volunteer sector and related work experience an asset.
  • Capacity to work with various volunteer groups and partners.
  • Advanced knowledge of MS Office Suite.
  • Knowledge of coordination tools.
  • Advanced knowledge of Raiser’s Edge or equivalent tool.
  • Ability to manage priorities.
  • Represent the organization with external partners.
  • Good stress management skills and capacity to work with tight deadlines and respond to challenges.
  • Strong customer service skills.
  • Energy and enthusiasm.
  • Strong organizational skills, thoroughness, and methodical behaviour.
