Title : Administrative Assistant (Summer Employment)

Employee Working Location : In-person (Sault Ste Marie, ON)  

Employment Status : Co-op/Summer Student (2 Months) 

Salary Band : $ 16.55 /hour

In this role, you will :  

  • Provide administrative support, including but not limited to: process all mail, maintain filing system, control inventory, ensure documentation (manifest and vehicle inspection log) is completed, enter service hours and adjustments to the system for both the client and volunteer, schedule rides for seniors with appropriate volunteers, log all request calls and produce statistical reports.
  • Respond to inquiries regarding programs and services and supports all branch programs.
  • Update manuals and policies as required.
  • Procure and stock PPE for drivers and prepare kits.
  • Enter all relevant client and volunteer information (both live and recorded) into the Client Information Management System (CIMS).
  • Verify integrity of data and makes corrections as necessary.
  • Record all communications and consequent actions in appropriate fields/locations.
  • Communicate regularly with clients/caregivers, volunteers and various departments (i.e. Finance, People Services, Information Technology).
  • Receive concerns from clients and volunteers with regards to scheduling and re-directs to appropriate professional.  
  • Document all communications and subsequent actions in appropriate field/location within CIMS.

       

What we are looking for : 

  • The minimum qualifications for this position are 1-2 years post-secondary school.
  • Excellent time management and interpersonal skills.
  • Excellent computer skills (Outlook, Word, Excel, Power Point).
  • Excellent verbal and written communication skills in English. French would be considered an asset. 
  • High degree of workplace adaptability, highly collaborative and a strong team player but also able to work independently.

            

Working conditions :

  • Duties are principally conducted in a shared office setting in a comfortable and friendly environment, located in Sault Ste. Marie, Ontario.
  • Hours of work are based on 35 hours per week, Monday to Friday.
