Reporting to the Branch Services Manager, the Lead Project Assistant is accountable for assisting with documentations, submittals, day-to-day activities, project administration duties and helping to minimize the task work by Project Manager, Estimator and Superintendent.

 

This position is based in the Mississauga, ON office.

 

 

Leadership

  • Demonstrate the Stuart Olson Promise and contribute to it becoming embedded across the organization.

  • Act as coach and mentor to direct reports.

 

Project Administration

  • Assist estimating/project team with formatting/editing of tender documents.

  • Generate and manage the review and issuance of Subcontract Agreements ensuring all relevant documentation is provided and meets Stuart Olson’s requirements; follow up with trades to obtain all relevant contract documentation

  • Review and ensure Bonds and Certificates of Insurance are accurate and meet Stuart Olson requirements.

  • Process all change management documents in SAP.

  • Process and track shop drawing and RFI submissions in a timely manner and maintain up-to-date logs.

  • Attend monthly Work in Progress (WIP) meetings and record and distribute action items.

  • Manage the approval of final WIP Reports and upload to the Corporate folder.

  • Maintain project documentation in accordance to Stuart Olson’s project file structure.

  • Assist with Operations and Maintenance (O&M) manuals at closeout.

  • Assist project team members by taking initiative to minimize and complete tasks and ensure accurate document control practices and procedures are followed.

  • Process Subcontract Agreements and Subcontractor Change Orders for all projects to the corporate folder.

  • Participate in quarterly company-wide Lead Project Assistant meetings.

  • Contribute to the recruitment, mentoring, training and performance management of Project Assistants.

 

 

Qualifications

  • Undergraduate degree or diploma related to project administration

  • 2 years’ experience tracking documentation in a database, timberline, expedition or SAP

  • Superior computer skills in Microsoft Office Word, Excel and Power Point

  • Ability to lead and operate within an environment where change happens frequently

  • Commitment to recruiting, mentoring, training, and retaining a focused team; the foresight and ability to delegate accordingly

  • Strong leadership capability as evidenced by demonstrable success in team/collaborative work environments

  • Flexible and able to manage multiple priorities simultaneously; meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment

  • Effective and efficient problem solving and decision-making skills; thoughtful, proactive, creative

  • Demonstrates a sense of urgency and strong commitment to achieving goals; ability to work in a challenging, fast-paced environment

  • Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges
